Disable download Google Drive shared file: how it works and what it can't stop

You send a draft to a client and would rather they not keep a copy before you are paid. Google Drive has a setting for that, but it is easy to miss and easy to trust too much. This guide shows how to disable download Google Drive shared file access for viewers and commenters, how to test it, and what the setting cannot stop.

Why freelancers disable download Google Drive shared file access
Freelancers often share work that is not finished or not paid for yet: a logo draft, a mockup, a report, a video cut. The client needs to see it, comment on it and approve it. They do not need a copy on their laptop.
Turning off download lets the client review the file online while the copy stays in your Drive. It is a good habit for early drafts and previews, and it takes under a minute to disable download Google Drive shared file access on each draft.
Be clear about what it is, though. This is a courtesy control, not a lock. It tells people who follow the rules what you expect, and it removes the easy buttons. It does not make a file impossible to copy, and the later sections explain why.
Step 1: Open the Share dialog as the file owner
To disable download Google Drive shared file access, find the file in Google Drive on the web. Right-click it and choose Share. You can also open the file and click the Share button at the top right.

Check that you are the owner
Work from the account that owns the file, or one that is allowed to change its settings. If you only have access as a viewer or commenter on someone else's file, the setting is not yours to change. Ask the owner.
Work on one file at a time
Google's sharing page describes this setting for a file, and it adds a tip that matters here. According to Google's guide to sharing and managing access, if your file is inside a shared folder, the folder's permissions override any settings you choose for the file. So open the Share dialog on the file itself, and check what the folder allows too.
Step 2: Turn off download, print and copy for viewers and commenters
To disable download Google Drive shared file access, follow the path Google describes once the Share dialog is open. The steps are: open the Share menu, click Settings, then uncheck Editors, Commenters and Viewers or both under the "People who can download, copy, print, and access" option.
- Open the Share dialog and click the Settings gear icon.
- Find the option labeled "People who can download, copy, print, and access".
- Uncheck Viewers and Commenters. These are the two roles most clients get.
- Save your changes and close the dialog.
Menu names can change over time, so read the label on your own screen. If it differs from the wording above, look for the option that mentions download, copy and print.
Step 3: Set the role to Viewer or Commenter
The choice to disable download Google Drive shared file access only helps if the client has the right role. A reviewer who needs to leave feedback should be a Commenter. A reviewer who only reads should be a Viewer. Avoid Editor for reviewers: the same Google page lists Editors among the roles you can uncheck, which shows Editors are a separate group with more access.
Share with named email addresses rather than "anyone with the link". A link can be forwarded to people you never meant to include. Named emails keep the list short and make it easy to review later.
| Role | What the person can do | Good for |
|---|---|---|
| Viewer | Open and read the file | Clients who only need to see a draft |
| Commenter | Read the file and add comments | Clients who give feedback |
| Editor | Change the file. Editors can also be unchecked in the same setting | Collaborators you fully trust |
Step 4: Test as the viewer
Never assume your attempt to disable download Google Drive shared file access worked. Open the share link in a private browser window, or sign in with another Google account that has been given Viewer access, and look at the file the way your client will.
- Look at the menus and toolbar for download, print and copy options.
- Confirm the options you unchecked are not available to this account.
- If something still shows up, go back to the Settings gear and check that the box is unchecked and saved.
Then fix your message to the client. Say the file is view-only and that you will send final files after approval. A short sentence like "This draft is for review online only" avoids confusion and sets expectations.

What this setting does not stop
Even after you disable download Google Drive shared file access, anyone who can see a file on a screen can take a screenshot or photograph the screen. Turning off download does nothing about that. If the content is sensitive enough that a screenshot would hurt you, do not share the full file at all. Share a smaller preview, or a version with the important parts left out.
Folders need extra care. Google describes the setting for a file, and it says folder permissions override file settings. So do not assume that restricting one file inside a shared folder protects it. Share the files you want to protect on their own, and test each one.
Finally, the setting depends on the roles people have. Someone with a higher role than you intended may have more options than a viewer. That is why Step 3 and the access review below matter as much as the checkbox.
Better habits: revoke after delivery
The strongest protection is not a setting. It is ending access when it is no longer needed. When a client approves the final version, remove their access to the drafts. According to Google's page on stopping, limiting or changing sharing, you open the Share menu, click the dropdown beside the person's name, select "Remove access", then save.
- Revoke access when the client signs off on the final file.
- Keep a short list of who received which draft, with the date.
- Look through your shared files every month or quarter. Old shares are easy to forget.
For wider habits, read how to share Google Drive files safely and how to revoke access when a project ends. For the bigger picture, see the Google Drive security audit guide.
Use Wistorix to review who still has access
Once you disable download Google Drive shared file access on many drafts for many clients, it gets hard to remember who can still open what. Wistorix is a Chrome extension that scans your Drive and lists files by sharing permission. You can review by email to see which files one person has access to, then revoke access in bulk after you have looked over the list.
It also flags files shared publicly with "anyone with the link", so you can take a second look at them. Wistorix reads file metadata such as name, size, owner and sharing settings, never file contents. It does not change the download setting on a file. For that, use the Share dialog as shown above.

Frequently asked questions
Can I stop people from downloading a shared Google Drive file?
Yes, for viewers and commenters. Open the Share dialog, click Settings and uncheck those roles under the option that controls who can download, copy and print. It keeps honest reviewers from grabbing the file, but it does not stop screenshots.
Does disabling download work on a whole folder?
Google describes the setting for a file, not a folder. It also says that when a file is in a shared folder, the folder's permissions override file settings. The safe approach is to set it on each file and then test as a viewer.
Can viewers still screenshot a file after I disable download?
Yes. Anyone who can see the file can capture their screen, so treat the setting as a courtesy control. For sensitive work, share a preview instead of the full file.
Can Wistorix turn off downloads for my shared files?
No. Wistorix does not change the download setting. It helps you review who has access to your files and revoke access in bulk after you review the list.
